Executive Assistant

We are seeking a highly organized, detail-oriented Executive Assistant, available on either a full-time or a part-time basis, to provide comprehensive support to senior leadership. This role is ideal for candidates with a background in legal or business administration to provide comprehensive support to senior leadership. This role requires exceptional judgment, strong communication skills, and the ability to manage confidential information with discretion. The ideal candidate thrives in a fast-paced environment, anticipates needs proactively, and ensures the executive team is fully supported in all operational, administrative, and strategic tasks.
This position plays a critical role in ensuring seamless executive operations, safeguarding legal and business integrity, and empowering leadership to focus on high priority initiatives. The Executive Assistant will act as a strategic partner to the executive team, providing the structure, coordination, and professional support required for effective decision making.
Executive Support
- Manage complex calendars, including scheduling appointments, coordinating meetings, and arranging travel.
- Prepare correspondence, reports, presentations, and legal or business documents with accuracy.
- Serve as a primary point of contact between executives and internal/external stakeholders.
- Anticipate executive needs and provide proactive support.
Administrative & Operational Management
- Organize and maintain filing systems, including legal records, contracts, and confidential materials.
- Support meeting preparation by creating agendas, compiling materials, and taking detailed minutes.
- Coordinate project timelines, track deliverables, and follow up to ensure completion.
- Support cross‑departmental coordination and process improvements.
- Prepare briefs, summaries, and executive-level reports
What you need
- Bachelor’s degree in legal studies, Paralegal Studies, Business Administration, or a related field.
- 3–7 years of experience supporting executives & senior managers.
- Prior experience in a professional services firm, corporate legal department, or business operations role is a strong asset.
- Strong understanding of legal terminology or business administration practices.
- Exceptional written and verbal communication skills.
- High level of professionalism, integrity, and discretion.
- Ability to prioritize competing tasks and meet strict deadlines.
- Strong analytical, organizational, and problem‑solving skills.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
